The Office Coordinator has a range of responsibilities and will interface with all employees at the Institute. This is a great opportunity for anyone looking to be a part of a fun, hard-working, and collaborative environment.

Office Coordinator Job Description:

· Greet guests/vendors and notifying appropriate parties of their arrival

· Handle incoming calls and outside inquiries and information requests then route to appropriate person

· Point of contact for building management for maintenance requests

· Assist in preparations for conferences, meetings, and special events

· Ensure office area, including kitchen and conference rooms, are tidy, well-organized, and fully stocked with supplies

· Manage shipping arrangements and labels for outgoing mail

· Troubleshoot printer/appliance issues (dishwasher, microwave)

· Coordinate staff events such as happy hour, monthly birthdays and other special events

· Support onboarding new employees with workstation set-up, ordering parking passes, office keys, etc.

· Assist in resolving submitted IT tickets through vendor ticketing system

· Maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies, and other duties that keep the office running smoothly

· Manage Institute library, including ordering books as needed, cataloging books, conducting regular audits, and handling book check-outs

· Assist in Institute archiving and entering data into SalesForce

· Process expense reports

· Other duties as assigned

You Have:

· 2-3 years of administrative experience

· A confident self-starter who takes initiative but knows when to ask for help

· An ability to juggle multiple assignments without details falling through the cracks

· Effective cross-departmental communication skills

· Positive, friendly, “can-do” attitude

· Keen attention to detail
