The Finance Manager will report to the Founder/Executive Director and work with the Part-Time CFO, Chief of Staff and Board’s Finance Committee. This is a macro and micro position that requires the ability to advise on, improve and develop strong financial policies and procedures as well as the daily duties of inputting revenue and expenses into Quickbooks among other things.

Opportunity to bring on and manage a finance intern.

Responsibilities include:

  • Process and manage payroll, health and transit benefits through ACE and Wageworks
  • Produce Accounts Receivable invoices, monthly financial statements, donation reports
  • Enter and process vendor invoices, including full Accounts Payable cycle
  • Review and reconcile invoices to payments issued to ensure they are paid timely and accurately.
  • Preparation and posting of monthly journal entries
  • Preparation of monthly bank reconciliations and other balance sheet accounts, as required
  • Monitor and manage bank accounts, cash flow, credit card statements, accruals, internal controls
  • Submit monthly board reports and cash flow statements/predictions
  • Submit monthly reconciliation reports between Salesforce and Quickbooks
  • Develop annual budget along with ED and Program Director and work with departments to update/monitor quarterly
  • Oversee/Manage Insurance Renewals
  • Oversee/Manage annual audit
  • Ensure compliance with federal, state, and local requirements, through research and awareness of existing, new, or anticipated legislation
  • Contribute to the annual updating for all compliance websites including: BBB, LIC, Guidestar, Cultural Data Project
  • Oversee financial management, planning, systems, controls
  • In partnership with Chief of Staff make recommendations for cost improvements for supplies, equipment, and services (messenger, cleaning, supplies, etc.)
  • Assist CFO in reviewing all contracts and agreements and present renewal options in advance of renewals
  • Assist CFO in updating finance manuals and procedures on an annual basis
  • Oversee record keeping and annual purging
  • Assist the HR consultant and Chief of Staff in the onboarding of new employees

Qualifications

  • Minimum of 5-7 years of bookkeeping/accounting experience
  • Extensive knowledge of Quickbooks
  • Knowledge of Salesforce a plus
  • Demonstrated success developing and monitoring systems
  • Excellent interpersonal skills, including the ability to generate trust and respect from colleagues and direct reports
  • Non-profit budget development and audit management experience
  • Ability to tackle emerging crises and problems with a collaborative, creative and strategic approach
  • Team player capable of working collaboratively and independently
  • Ability to maintain the highest levels of confidentiality and discretion of personnel information
  • Knowledge of non-profit management, operations, personnel and administrative functions

Hours: Part-time 20 hours a week - additional hours at certain times of the year may be required
